Key Responsibilities For Facilities Coordinator - Coordinate day‑to‑day operations of the Montreal office and fulfillment facilities, ensuring a safe, clean and efficient work environment. - Manage vendor relationships for building maintenance, security, cleaning, HVAC, waste management and office services, including contract negotiation, performance monitoring and issue resolution. - Schedule and oversee preventive maintenance programs, track work orders in the facilities management system, and ensure timely completion of corrective actions. - Conduct regular inspections of the premises to verify compliance with occupational health and safety regulations, fire codes, and Amazon’s internal standards. - Support space planning initiatives, including office moves, workstation reconfigurations, and conference room bookings, in collaboration with the real‑estate and IT teams. - Maintain accurate records of equipment inventories, asset tags, and facility-related documentation, preparing reports for senior management as required. - Respond to employee facility requests and emergencies, providing prompt communication and resolution. - Assist in the development and execution of sustainability initiatives, such as energy‑saving projects and waste‑reduction programs. - Participate in emergency preparedness drills and contribute to business continuity planning for the site. Required Qualifications - Minimum two (2) years of experience in facilities coordination, building operations, or a related administrative support role, preferably in a large corporate or distribution environment. - Post‑secondary diploma or certificate in Facilities Management, Business Administration, Occupational Health & Safety, or a related field; a degree is an asset. - Demonstrated knowledge of Canadian occupational health and safety legislation (e.g., CSA, OHSA) and building codes applicable in Quebec. - Proven ability to manage multiple vendors and service contracts, with strong negotiation and contract‑administration skills. - Proficiency in facilities management software (e.g., FM:Systems, Archibus, or similar) and Microsoft Office Suite, especially Excel and Outlook. - Excellent written and verbal communication skills in English; French proficiency is required for effective interaction with local stakeholders and regulatory bodies. - Strong organizational skills, attention to detail, and the ability to prioritize tasks in a fast‑paced environment. - Valid driver’s licence and reliable transportation for occasional site visits. Desired Skills - Experience with sustainability or green building initiatives (LEED, ENERGY STAR). - Knowledge of basic budgeting and cost‑control principles. - Ability to analyze data and generate actionable insights for facility performance improvement. - Familiarity with Amazon’s Leadership Principles and a customer‑focused mindset. - Certification such as CFM (Certified Facility Manager) or BOMA (Building Owners and Managers Association) designation.
